Konexo, a brand developed by Eversheds Sutherland, is considered a practice group of the firm which delivers consulting and alternative legal services to our clients across the globe. With offices based in the UK, US, Asia and Middle East, it brings together a multi-disciplinary team of circa 130+ Partners, lawyers, consultants, paralegals and operational professionals who support on legal team and technology consulting, interim resourcing and managed service/project work.
Role and key responsibilities
- Stakeholder engagement: Build strong working relationships through regular one‑to‑one meetings to discuss priorities, actions and forward planning. Attend team meetings to stay informed and contribute effectively. Act as a key point of contact for internal and external stakeholders, drafting clear and professional correspondence. Provide support during stakeholder absences and maintain a flexible, hybrid approach to meet business needs.
- Adaptability and collaboration: Deliver excellent service by responding promptly and effectively to stakeholder requests. Support the wider PA team by providing cover during absences or periods of high demand to ensure continuity.
- Mailbox, diary and travel management: Proactively manage mailboxes and diaries, including complex travel arrangements. Anticipate future needs, resolve scheduling conflicts and take initiative.
- Meeting coordination: Organise and prepare for internal and external meetings, including drafting agendas and ensuring the appropriate technology, facilities and refreshments are in place for both in‑person and virtual meetings.
- Workflow management and delegation: Take ownership of requests from start to finish, ensuring successful delivery within agreed timescales. Delegate tasks across relevant business support teams where appropriate, maintaining accountability throughout.
- Document and presentation support: Prepare and coordinate documents and presentations, working with specialist support teams for larger or more complex materials.
- Financial and administrative support: Provide day‑to‑day administrative and financial support, working with finance teams as required and ensuring adherence to firm‑wide policies and procedures.
- Marketing and business development support: Assist with the coordination of events, preparation of event materials, attendee communications and related administration to deliver a seamless end‑to‑end process.
- Championing process improvement: Actively identify opportunities to improve processes and ways of working, contributing ideas and supporting change initiatives within the organisation.
- Technology utilisation: Use the firm’s technology effectively to manage information, reporting and collaboration. Seek opportunities to adopt new tools and approaches that enhance productivity and efficiency.
Skills and Experience
We are looking for:
- Experience in a similar environment: Experience working in a comparable professional services or corporate environment, with the ability to adapt quickly in a fast‑paced setting.
- Client service excellence: A strong commitment to delivering high‑quality service, anticipating needs and proactively resolving issues.
- Problem‑solving and initiative: A proactive, solutions‑focused approach with the confidence to take initiative and drive tasks through to completion.
- Effective communication: Excellent written and verbal communication skills, with the ability to convey information clearly and professionally.
- Delegation and ownership: Confidence in delegating tasks where appropriate while retaining overall responsibility for delivery.
- High‑level PA support: Proven experience supporting senior stakeholders, including diary management, meeting coordination and handling confidential information.
- Relationship building: Strong interpersonal skills with the ability to build effective relationships across teams and with external contacts.
- Task management and risk awareness: Ability to manage competing priorities, maintain attention to detail and identify potential risks to delivery.
- Flexibility: Adaptable and comfortable working in a changing environment.
- Microsoft applications proficiency: Intermediate to advanced skills in Microsoft applications, including Outlook, Teams and Copilot.
- Team collaboration: A collaborative mindset with a willingness to support colleagues and contribute positively to the wider team.
