About the role

 

The Workplace Assistant will ensure that workplace support services run smoothly and provide an effective and consistent level of service excellence to all colleagues. To effectively and efficiently manage issues to provide the highest levels of client care and service to colleagues and visitors. The scope of activities is extensive and should be aimed at supporting our colleagues and enhancing the working environment.

 

They will ensure that the working floor operates as smoothly as possible, so that colleagues are not distracted from their own work by having to deal with facilities related issues. The role will be positioned as the first reference point for all workplace services.

 

Key responsibilities

 

  • To be based on the working floors and become a central hub for Workplace across the practice groups
  • Build and maintain a trusted client relationship, being confident in interactions with partners and senior management
  • Ensure health and safety standards are adhered too and encouraged across the office. An understanding of Risk Assessments is required to support
  • Daily Floor checks to include H&S, maintenance and general housekeeping, enabling identification of any H&S issues/hazards and following up for resolution
  • Pro-actively ensure the logging of building faults, general fabric maintenance, cleaning, kitchenette and washrooms services, archiving, ensuring noticeboards are up to date with the relevant documentation
  • Manage and action requests received via BigHand and the local facilities mailbox
  • Undertake monthly H&S inspections on the relevant and current Health and Safety software. Including uploading training records and updating relevant documentation
  • Undertake administrative tasks that relate to Quality and ISO standards and accreditations including internal audits actions
  • Assist with client meeting room configuration and furniture changes as and when required to support our front of house teams
  • Support with New Starters and Leavers processes, arranging and conducting building induction tours and access control cards with appropriate security access. Actioning photos for new starters as part of their photo ID access card
  • Support occasional out of hours and weekend activity as required (building power downs, internal moves, critical M&E works)
  • Monitoring Access control and security in the workplace. Being a point of contact for Security based issues. Be able to perform reports on the relevant Security Software and confident to challenge behaviours around Security in the office
  • Aware of IT security and able to take relevant action or report as required
  • In the event of a Business Continuity incident, support Workplace management response as required
  • Being a key contact with IT when supporting internal office moves 

 

Skills & competencies

 

  • Demonstrate both strong written and oral communication skills and the ability to build and maintain relationships with key stakeholders.
  • Be highly organised and adept at prioritising tasks as will be required to consistently deliver required outcomes on time and to a high standard.
  • Be solution orientated in day-to-day challenges and the approach to tasks, collaborating effectively with the wider team and management.
  • Show a willingness to learn and a passion for providing customer service excellence at all times.
  • Demonstrate a pro-active attitude, ensuring things happen promptly, anticipating client and colleague’s needs.
  • Be willing to adapt to changing responsibilities as identified in the job description and respond to the firm’s evolving needs.
  • Collaborate effectively as a team player and wanting to strive to make a positive difference.
  • Project a strong professional image that displays a sense of reliability, credibility and professionalism in a client facing environment.
  • This will require conformance with the current uniform and self-presentation guidelines.
